Urgent Leave Letter

An urgent leave letter is written in extreme circumstances, and is very different from usual leave letters. Most organizations require their employees to submit leave letters well in advance – this request is then processed over a few days, after which the leave request is either approved or rejected. Another feature of regular leave letters is that they outline the exact dates for the leave – the letter clarifies the number of days the leave is required for, the specific dates on which it is required, and by when the employee will be coming back to work.

However, an urgent leave letter does not contain all this information. An urgent leave is taken in case of an emergency – this request is often submitted on the very day the leave is required, or just one day in advance. Owing to the haphazard nature of an emergency, exact dates may not be mentioned either. Let’s now look at how an urgent leave letter is written, and you can also refer to the samples and template we have provided.

Tips for Writing an Urgent Leave Letter

  • You don’t need to give an exact date of return if you are uncertain.
  • Clearly state the nature of your urgency if it’s not private.
  • Leave your contact information with your supervisor or the HR.

    Respect Sir,

I have just received a call from a family member, notifying me that my son is not feeling well. He has to be picked up from school and taken to the hospital, owing to which I wish to request an urgent leave. I will make sure I provide all of the important information to the Human Resource department, and leave my contact number with them in case I need to be reached for some reason.

I aim to return to work by the 23rd of January 2012, i.e. tomorrow, although I cannot commit to this date, owing to the uncertainty surrounding the severity of my son’s illness. When I return, I will make sure I complete all my pending work. Please do take my humble request into consideration.

    Thanks and regards,
