Delivery Cancellation Letter
If you are unsatisfied with the products of your service providers or you want to cancel your order due to any unforeseen reason you will have to handle it tactfully. This may affect your relationship with the other party and damage your reputation in the market.
No one wants to waste money but no one likes to be known for the uncertainty of decisions. In these kinds of situations, a delivery cancellation letter can do the trick as it is the most authentic and effective way to inform the other party about your revised decision.
In the opening paragraph, you should start with some courteous sentences praising the professionalism of the other party. Do not drag the opening and inform your addressee about the revised decision. Provide complete details of your order and reasons of cancellation.
In the second paragraph, you will mention the compensation that you are offering because of this inconvenience.
In the end, make them realise that you still expect a good relationship in the future and close your letter with proper salutation.

Dear Mr. Parker,
I regretfully inform you that our company has decided to cancel the delivery of 500 laptops that we purchased from your company on October 11, 2012. Our IT Consultants advised us to wait for the better version of these laptops as the machines we ordered belong to the previous series.
This development has forced us to cancel the order and we hope that you will understand our position and cooperate. We will, however, be paying you 10 percent of the purchasing price as per the agreement. Kindly acknowledge and send a confirmation letter.
We hope that this will not affect our long-standing relationship as we still put you on top of the list for future deals.
Thank you.
Sincerely,
Paris Hilton -
