How to Address an Envelope to a Business Department

Most businesses are divided into different departments to handle the affairs prudently. For example, finance department of an organisation handles all the inflows and outflows of cash, investment in various securities and loans, on the other hand, production department handles the in and out of the inventory and manages the production level.

In order to communicate an issue to a different department of the organisation in which you are working, you will have to follow some guidelines so that it is properly addressed to the required person and in an appropriate way. For instance, if you are writing a letter to a particular person of any other department, you will have to add an extra line to the envelope in addition to the other professional requirements.

    First of all, choose an envelope. It will be better for you to take a plain white envelope. However, you can also use colourful piece of paper. Then, you have to write the return address in the upper left corner of the envelope. The return address is extremely important as it will help the reader to get your information and reply back (if needed).

    Furthermore, the letter can easily get back to you in case it is not received by the recipient due to any reason. Please note that you have to write every single detail in the return address, and don’t use any acronyms (write full words).

    Write the name of the recipient right in the middle of the envelope. Then, mention the name of the department in which that person is working. After that, write the name of the business under the name of the person. In contrast, if you are addressing the whole department instead of a particular person, you just have to write the name of the department rather than the recipient’s name.

    Now, write the complete address of the business right underneath the name of the department. You can use abbreviations to shorten your text e.g. you can use ‘Ln’ for lane and ‘Rd’ for road. Don’t forget to add the name of the city, state and the zip code of the area in which the business is located.
